How to invite a collaborator to help run your website

Open Team, send the invite, pick which sites they can see, then confirm they land in the dashboard

You run flaviocopes.com alone. Contact messages sit in the dashboard. Testimonials wait for approval. You want someone else on that inbox.

Sitebase collaborators do that. You send an invite. They use the same dashboard, on the sites you pick.

Sitebase is in private beta. Public signup isn’t open. These steps are for accounts with access.

Check your plan first

Starter is just you. The Team page shows Collaborators not included and an Upgrade plan button.

Pro includes 3 collaborators besides you. Business includes 10. Agency includes 10 per website.

A pending invitation holds a seat until it is accepted or revoked. You cannot invite past the cap.

Open Team

Open the account menu in the bottom-left corner. Pick Team.

The page lists Members. You are the Owner. Your website access is All websites.

Only the owner can invite or remove people.

Send the invitation

Under Invite a collaborator, type a real address, like editor@flaviocopes.com.

Website access has two choices:

  • All websites, including ones added later
  • Only selected websites

If this person should run one site, pick the second option. Tick flaviocopes.com. Leave your other domains unchecked.

Click Send invitation. The notice is “Invitation sent to editor@flaviocopes.com.”

The invite sits under Pending invitations. It expires in 7 days. Revoke cancels it. You cannot edit the scope on a pending invite. Revoke it and send a new one.

They accept on the invite page

They get an email with a link. Opening the link does not join them yet.

The page shows who invited them and which sites they will see. They click Accept invitation. That signs them in as that email. They do not create an account first.

If they already use Sitebase on their own account, they now belong to both. The account menu lists them. Pick one to switch.

A dead link means the invite expired, was revoked, or was already accepted. Send a new one.

What they can do

On the sites you granted, they see the same features and data you do. They can approve a testimonial, read a contact message, and change site settings.

They get notification emails for new activity on those sites. Each person sets their own preferences under Profile.

A collaborator scoped to selected sites does not see your other domains. Those sites stay out of the sidebar. They cannot open those pages. They cannot add a website.

A collaborator with access to all websites can add sites and sees the account overview.

They can open Team and see the list. They cannot invite, revoke, or remove anyone.

Change access later

On Team, click Edit next to their website access. Switch to All websites, or tick a different set. Click Save. The notice is “Website access updated.”

Remove takes away access right away. Those sites disappear from their next load.

For the rest of the Team page, see collaborators.
